UiO has an agreement with the travel agency Berg-Hansen. You can book business trips through Berg-Hansen's travel portal or app.
Before booking your trip, clarify with your manager:
- Whether the trip is necessary
- Coverage and reimbursement for travel
All expenses must be paid with a bank card. The trip can be paid for with a private card, or with a credit card from the company which UiO has an agreement with. If you do not have this opportunity, contact your unit.
Advance for travel is only provided under exceptional circumstances. (Norwegian only)
Travel in an environmentally friendly way
- By 2030, UiO will halve our emissions from business travel compared to 2018.
- If it is practically possible trains, bus, or electric car should be prioritized. On domestic routes where both flights and trains are available options, you should consider taking the train at least one way.
- Avoid layovers if possible.
- Electric cars can be a good choice for sustainable travel if several people are travelling together.

Guidelines for business travel at UiO
How to book a trip
- Apply to have your trip approved by your manager. You can do this in the DF? app or in the Self-Service Portal (dfo.no). Check how this is practiced in your unit.
- Book train and plane tickets, rental car and hotel through Berg-Hansen's travel portal or app. If you need to use another company, check with your manager.
- Due to security reasons, private rental platforms such as Airbnb, Vrbo and similar platforms should not be used when travelling for work.
- Domestic flights and simple roundtrips to Europe are booked in the travel portal. For long distance flights or complicated trips, contact the travel agency by phone or email. Flexible tickets can be used when necessary and pre-approved.
- Book your trip well in advance. During rush hours (07-08 and 16-17) there are mostly full price tickets available.
- Please note that you will have to pay a service fee for manual assistance from the travel agency.
How to Travel Climate Friendly in Europe
Trains
You can book train tickets to Europe through Berg-Hansen. Look for the train symbol to identify train options. To see more train deals, sort your search results by price instead of departure time.
Available routes in the travel portal:
- between London, Paris, Brussels, and Amsterdam (via Eurostar)
- domestic routes within Germany, Italy, Austria, Great Britain, Spain,?Czech Republic and France (Accessrail)

- Entur: This platform provides comprehensive information about train services across Europe and can assist with ticket purchases.
- Interrail: For extensive European train travel, consider an Interrail pass. This offers flexibility and allows you to travel on many trains with a single ticket.
- Deutsche Bahn: The German railway company provides timetables for a vast network in Europe.
- Train company apps: For the most up-to-date information, use the apps of the specific train companies you’ll be traveling with.
Buses
You cannot book a bus ticket through Berg Hansen. If you wish to travel by bus, book a ticket directly from the bus company or contact the purchasing officer in your unit.
Expense Report
You can fill out an expense report in the Self-Service Portal or in the DF? app. Read more about expense reports at UiO
Cancellation and Refund
Cancel or change your trip and hotel in the Berg-Hansen app or by contacting them by email or phone.
In some cases, it might be necessary to change discounted tickets. If a discounted ticket cannot be changed, you must purchase a new ticket at the lowest possible price. Attach receipts for both tickets to your travel invoice and write a brief explanation.
