2. Purpose
The purpose of the travel card is to provide an option for those who do not wish to use their private credit cards. The card shall only be used for expenses that are eligible for reimbursement in accordance with the government's travel regulations and UiO's internal guidelines.
3. Allocation of travel cards
All employees with a business need may apply for a travel card. Travel cards are only allocated after approval by a manager who has been delegated such authority. The decision to allocate a card is made on the basis of the application form received electronically.
4. Nature of the card
The travel card is a corporate card with a credit profile. UiO is responsible to the card issuer, but invoices are sent to the employee who is the cardholder. The card is personal and may not be used by anyone other than the person to whom it is issued.
5. Area of use
The card shall only be used for expenses related to business travel, such as airline tickets, hotels, per diem allowances, and other approved purposes. Private use is strictly prohibited. Cash withdrawals are not permitted. The card shall not be used to purchase goods or services that are not directly related to travel.
The credit limit is generally NOK 75,000.
6. Invoicing and payment
Invoices are sent to the cardholder, who is responsible for paying the full amount by the due date. The cardholder must submit travel expenses with the necessary supporting documentation well in advance of the due date so that reimbursement can be made before payment. If the invoice is not paid, UiO will receive a reminder from the credit card company and follow up the matter in accordance with internal procedures.
- All charges on the monthly invoice from the credit card company must be documented in the form of original receipts attached to the travel expense report.
7. Breach and consequences
If the travel card is used in violation of the applicable guidelines, this will generally result in the card being blocked.
The cardholder may be held liable for compensation to UiO if UiO has to cover invoices from the card company as a result of card use that is not related to business travel.
In cases where UiO has to cover the cardholder's invoice due to non-payment, and it is documented that the card has been used in connection with business travel, but the expenses exceed what is reimbursed under the government's travel regulations, a specific assessment will be made as to whether a claim for full or partial repayment should be made from the employee/cardholder. The employee must be prepared to repay the amount, as it is their responsibility to familiarize themselves with which expenses can be claimed for reimbursement in connection with business travel.
If the employee does not settle the amount, UiO may take legal action to recover the claim. It will also be assessed whether there are grounds for wage deduction.
8. Security and responsibility
- Cardholders must be familiar with and accept the terms and conditions for use of AirPluss corporate cards with corporate liability.
- The card is personal and may only be used by the cardholder. The PIN code must not be shared with others.
- Cardholders are obliged to store the card securely and ensure that unauthorized persons do not have access to it.
- In the event of loss or suspected misuse, cardholders must immediately notify the card issuer and their immediate manager.
- Cardholders are responsible for documenting all expenses related to card use and paying the credit card bill themselves.
- Misuse of the card or non-payment may have consequences for the employment relationship.
- Upon termination, the card will be canceled by the card manager, administrator, or immediate supervisor without the need for consent from the cardholder. During the notice period, expenses may be covered through direct advances upon documentation.
9. Duration and termination
The agreement is valid from the date of issue and remains in force for as long as the card is active. It may be terminated by either party with immediate effect. The card must be returned upon termination, leave of absence, or termination of employment.
