Host a webinar

Webinars: On standard UiO-licenses, users have the capacity to host webinars for up to 500 participants. To host an event larger than this, you will need an add-on license. Fill in the form to apply for an increased webinar capacity

Turn a meeting into a webinar?

If you already have created a meeting, you can, if you find that you need it, turn the meeting into a webinar. If you have already invited and spread the URL to the meeting, you do not want to have to cancel it and then create it again. Therefore, it is convenient to be able to turn a meeting into a webinar. It is also useful if you want the URL of the webinar before you have the license. Then you just create a meeting, and turn it into a webinar afterwards.

NOTE: Remember that webinars for more than 500 participants require a separate license. Apply for the license by filling out the online form for ordering extra licenses and webinar license.

How to turn a meeting into a webinar
1. Open a web browser and go to https://uio.zoom.us.

2. Click Sign in.

3. Once you are signed in, click Meetings in the menu on the left.

4. Click the meeting you want to change into a webinar.

 

 

5. At the very bottom of the meeting settings page, you will find the link Convert this Meeting to a Webinar. Click the link.

6. In the window that opens, click OK to confirm that you want to turn the meeting into a webinar.

This procedure requires that you have already created a meeting. To create a webinar from scratch, read "Schedule a Webinar" below.

Schedule a webinar

With Webinar registration, registrants can be imported via CSV and automatically approved. Once they have successfully been imported, a confirmation email will be sent to the registrants. Read the guide on the Zoom help site.

1. Start in the Zoom app. Click on the profile-image/your initials in the upper right corner.

2. Select "My Profile" or "Change my picture" 

This will open your profile page at zoom.us in a web-browser. What it is called will depend on whether you have added a picture to your profile or not.

3. Select Webinars and then Schedule

4. Populate the form with necessary data:

  • Title - the webinars title
  • Description - describe the content of your seminar
  • Date (click on the red square)
  • Time
  • Duration
  • Video:
    • Host On/Off: turns your camera on or off when the webinar starts. If left off you can still turn it on during the webinar and vice versa.
    • Panelist On/Off: camera setting for webinar panelists when the webinar starts. During the webinar the host can change the video settings for panelists.
  • Webinar Options

5. Click Save

When you click save, you will get a new set of options at the bottom of the page.

  • Invitations:
    • Click "Copy the invitation" link. You can distribute this as you please:  e.g. email, Vortex, Canvas and so on.
  • Polls:
    Do you need any polls? Create them now and make use of them during the presentation.

Start webinar

You can start the webinar from the app on your device or your profile page in web browser.

1. Click start

2. Choose share presentation

3.  Click Broadcast when it is time to start the webinar

The menu will "disappear" after a while, but moving your mouse upwards over the green area will make it appear again.

4. What can happen during the webinar?

  • Participants raise their hand.
    During the session participants can raise their hand. It can be a good idea to inform the participants how you will react to this during the webinar. You will be notified when someone raises their hand on your screen. 
    • Click on the Participants on the menu to see which participants raise their hands.
    • Click "Unmute" so they can ask their question or the button "More" for:
      • Chat with participants
      • Promote to panelist
      • Remove
      • Lower hand
      • Disable talking

  • Q&A
    Click on Q&A to see text questions from the participants. You can answer live or type in your answer.

  • Webinar chat

You can chat with the panelists or all the attendees.

End webinar

When your webinar is finished, choose "End meeting" and Zoom will start to convert the recording.

 

Webinar reports

IMPORTANT! Remember that if you are going to take out reports on a webinar, you must do so before the license is revoked. Once the license is revoked, it is not possible to generate or retrieve reports.
