Instructions for Presenters

Poster Presentation

All posters will be shared on Virtual Poster Sessions, regardless of whether you are attending SysMus25 in-person or online. Once you register for the conference, we will send you an email from us via Virtual Poster Session ( support@virtualpostersession.org ) with the subject line "Please submit your Virtual Poster". The link in this email will give you access to your virtual poster space. When you get this email please do the following:

 

1. Add your Details:

Please add the names of all authors and coauthors, as well as your university or institutional affiliation to your virtual poster space. Please do not change your presentation “track” (the time and date of your poster presentation). If you are unable to present your poster at the time assigned, please email us at sysmus25@ritmo.uio.no .


2. Create a Poster:

Posters can be created using software of your choice (we recommend using Microsoft PowerPoint, Google Slides, Canva, etc.). We ask that all posters meet the following dimensions: 1-metre-wide x 1.3 meters tall or 36 inches wide x 48 inches tall to best suit the platform.

 

3. Share the poster:

Once you have created your poster, please export it as a PDF and upload the file your virtual poster space using the link provided in the email from support@virtualpostersession.org by June 4th .

 

4. Share a link to a video chat:

Please create and share a link to a live video chat in the designated section of your virtual poster space by June 4th . We recommend using Zoom, Google Meet, or Microsoft Teams. This meeting link will be used by in-person and online attendees who wish to discuss your poster with you so please make sure that the meeting link will be active during your scheduled poster session time.

Please Note: If you are unable to attend your poster session in real-time due to a large time-zone difference, etc., there is an option to share a pre-recorded "presentation" of your poster on your virtual poster space. Please email us at sysmus25@ritmo.uio.no if this applies to you.

 

5. Create a "Poster Blitz" Video:

Please prepare a video with a maximum length of 45 seconds for a "Poster Blitz" that will be shared with all attendees at the start of each poster session. For the video, you may include 1 slide that includes your poster title, authors, and the main points or takeaways from your project to generate interest in your poster.

  • Videos should be in .MP4 or .MOV format, with 1280x720 (720p HD) dimensions/resolution, and have a maximum file size of 100 MB.
  • Please send the video to sysmus25@ritmo.uio.no using the subject line "Poster Blitz Video [your last name], [your first name]" by June 4 .

Please Note:   we have decided to shorten the maximum length of the poster blitz videos from 1-minute to 45-seconds to allow for more time to discuss posters during each session.

In-person Spoken Presentation

1. Create a Presentation:

Presentations can be created using software of your choice, although if you are a MacBook user we HIGHLY recommend using Google Slides as you will be presenting on a Windows computer in the conference hall and formatting issues may occur if you present a PowerPoint presentation originally created on a MacBook. You will be able to see speaker notes while you present if you wish to include these. Each presentation will be 10 minutes long, so please be mindful of this when creating your presentations.

 

2. Share the presentation:

Once you have created your presentation, please send it to sysmus25@ritmo.uio.no using the subject line "In-person Spoken Presentation [your last name], [your first name]" by June 4th .

 

Additional information:

  •  Each talk session will feature three presenters
  • Each presenter will have a 5-minute Q&A session with attendees following their presentation
  • There will be a 2-minute transition time between presenters
  • All presentations will be live streamed over Zoom for online attendees
  • Recordings of each talk session will be available on the conference website for 30 days after the conference

Online Presentation

1. Create a Presentation:

Presentations can be created using software of your choice. We recommend using Microsoft PowerPoint or Google Slides. Each presentation will be 10 minutes long, so please be mindful of this when creating your presentations.

 

2. Record your presentation:

Once you have created your presentation, please record your presentation. There are several options available for this including:

  • Zoom: by using the record feature in a private meeting
  • OBS Studio: Free, open-source software for recording and streaming
  • PowerPoint: Has a built-in recording feature with your slides

3. Share your presentation recording:

Once you have recorded your 10-minute presentation, please upload the video to YouTube, save the video as "Unlisted", and email the link to the video using the subject "Online Spoken Presentation [your last name], [your first name]" to sysmus25@ritmo.uio.no by June 4th . By saving the video as an unlisted video, only those with the link will be able to see the video of your presentation.

 

4. Attend your Talk Session via Zoom:

During your scheduled presentation time, we will stream your pre-recorded 10-minute presentation for all attendees over Zoom. Following this, we will invite you to turn on your video and mic to take part in a "real-time" 5-minute Q&A session with attendees.

  • Each talk session will feature three presenters (this may be a mix of in-person and online presenters)
  • Each presenter will have a live/real-time 5-minute Q&A session with attendees following their presentation
  • There will be a 2-minute transition time between presenters
  • All presentations will be live streamed over Zoom for online attendees
  •  Recordings of each talk session will be available on the conference website for 30 days after the conference
