Employee ID card
Your UiO employee ID card serves as identification, your access card to university buildings and rooms and library card at the University Library and access. Your employee ID card also allows you to print on UiO’s online printers. You can obtain your ID card from SiO Customer Service at Kristian Ottesen’s Building on the Blindern campus. You must attend in person and bring valid identification with you. Once you have received your ID card, contact Gry Stubberud by email or in person so that she can arrange access for you to Helsam’s buildings.

Access to IT services
In order to obtain access to the university’s IT resources, you need an IT user account with a user name and password. As a new employee, you can use your PC or mobile to find your user name and password via the ID Portal (log in with BankID/Bypass id/commfides). If you experience problems with logging in or your user name or password is missing, or you wish to change your password or need advice on how to generate a strong password, you will find lots of tips and advice on the user name and password webpage. If you still need help, contact your local IT adviser. Access to the various administrative IT systems such as E-phorte, FS, Fronter and Vortex will be granted as required and after you have undergone the necessary training.

Personal presentation webpage
All employees who receive a monthly salary and retired professors at Helsam have a personal presentation webpage.
The web editor receives information about new appointments needing a web presentation from the Section for Finance and HR at Helsam.
The web editor creates a personal profile and then informs the new employee with a copy to his/her superior/contact person at the Department.

The Institute is located in 4 buildings in two different areas. In addition, one research group is located in Building 20 at Gaustad Hospital (Oslo University Hospital).

Registering your working hours, holidays and leave of absence
As a new employee, it is important that you rapidly familiarize yourself with UiO’s self-service portal where all employees register their holidays and other leave of absence.
Technical and administrative staff also use the self-service portal to register their working hours.
You register and amend your personal information, such as your address and bank account number and information on your next of kin in the self-service portal. As a new employee, you should check that the information about you in the portal is accurate and correct anything that is wrong yourself.
Your travel expenses and reimbursements are processed in the self-service portal and you can also see your pay slips and expense settlements.

Orders and use of your research allocation
Academic members of staff are given an operational research allocation which can be used for example for course and conference fees, travel expenses, books, publications, scientific journals, technical equipment and catering expenses.
All purchases are subject to UiO’s purchasing regulations. Purchases that do not comply with current laws and regulations will not be approved. Feel free to contact your Purchasing Adviser who is an expert in the field and can help you with your order. All orders must be made using the dedicated web form.

Keep an account of your spending
YOU are responsible for making sure that you keep within your allocated budget. A quick and easy way to keep a check on your funds is to generate a report in the Tableau program. If you haven’t used Tableau before, we can give you a short introduction and generate a ready-made report template for you. Contact your Economy Controller for help.
Use the correct cost account location and sub-project code
Orders, travel bills and expenses which are to be charged to your research allocation must be marked with your own account string (consisting of a cost account location and a sub-project code) so that they are charged to the correct account. This means that you must change the sub-project number that automatically appears in DF?’s self-service portal when you register your expenses for reimbursement. You must also enter the correct account string when you fill out the order form.

The University of Oslo has informative and detailed webpages on employment terms and conditions. Here you will find information about employee benefits, salaries, insurance schemes, registration of side-line jobs and more.
Through the trade unions and employment safety representatives, employees exercise their right of co-determination and can exert a real influence on their workplace.
Competence development and continuing education courses
UiO offers a number of training courses and opportunities for continuing your education.
Academics from other countries are offered courses in the Norwegian language and culture.
Information on such courses can be found on the webpages of UiO’s International Staff Mobility Office (ISMO).
Research administration support
The Institute has a section dedicated to providing support for researchers. The section offers support relating to three main areas of research administration:
Externally funded research projects
We have staff dedicated to providing support with the process involved in applying for external funding, primarily aimed at the Research Council of Norway and the EU. The research administration staff will also be able to assist you in setting up new projects and running existing ones. The Medical Faculty has a special team specialized in providing support with applications to EU joint projects.
Quality assurance system for health and medical research
Academic employees are obliged to register their research projects in Forskpro and ensure that all necessary and required approvals, agreements and other relevant documentation are in order at all times. Each individual researcher must be conversant with the quality assurance system’s set of routines. The research administration staff may be consulted for advice on this matter.
Open Access Publishing
UiO’s employees must register their publications and communication activities etc in the research information system CRIStin. This system is also used to register publication points. The research administration staff follow up institutional tasks related to CRIStin, but each individual researcher is responsible for registering his/her own publications/points. All academic staff at UiO are obliged to make their work openly available, either by publishing it in Open Access journals or in UiO’s digital archive DUO. UiO has signed agreements on Open Access publishing with a number of publishers, which means that UiO covers the costs either in part or in full. It is the responsibility of the researcher to check whether a particular journal is covered by UiO’s agreements.
